Purpose of Position |
This position is responsible for ensuring that the development, implementation, and monitoring, and evaluation of the education programmes for the Pebbles Project is presented on the relevant farms. |
Management of initiatives and activities
- To assist with the management of all ECEP and SEP staff that are employed by either the Pebbles Project or the farm.
- To send any official ECEP and SEP communication to the relevant farm representative.
- To attend all the ECEP and SEP staff training, to streamline the communications between the initiative coordinators and the farm.
- To assist the programme managers with building positive relationships with the communities, facility staff and farm owners, and overseeing that regular parent meetings are arranged with all the relevant farms.
- To coordinate and host an annual farm owner’s day to further engagement.
- To ensure the well-being of children enrolled in various centres and programmes and to inform the COO of any problems and refer it to the local Social Worker.
- To ensure that the monthly case conferences are held for the ECEP and SEP programmes, monitor and follow up on the progress of each relevant case.
- To liaise with service managers from the various Pebbles Project programmes and services as well as any other staff to ensure that a quality service is delivered and that these initiatives are benefitting the children enrolled.
- To identify any programme related problem areas within the ECEP and SEP programme and to report this to the COO.
- To contribute to the development and maintain the yearly calendar for the organisation.
- To compile the Pebbles Monthly report for the Citrusdal region.
- To compile the integrated monthly farm calendars for the Citrusdal region.
Initiative Support
- To assist the Pebbles Social Worker and ECD and SEP Programme Managers with the ECEP and SEP facility registrations in Citrusdal and to ensure that no facility registration lapses.
- Coordinate Fire and Health site inspections as part of the DSD facility registration process.
- To assist the Social Worker to liaise with the farms and facilities to ensure that the registration file for each ECD and ASC facility is updated with the necessary documents and information as requested by the DSD.
- To assist the Social Worker to support various centers with DSD reports, registrations, or any other relevant DSD documentation as requested by the DSD. This will include collecting supporting documentation enabling the centers to complete the Schedule A and B’s.
- To assist the COO with DSD related tasks.
Office Management
- To ensure that all offices have all the needed refreshments, stationery and equipment to function productively.
- To manage the entire Health and Safety function for the Citrusdal region and including all offices.
- To ensure that the Citrusdal region and offices are compliant according to the Health and Safety Act and Policy.
- To conduct the necessary meetings to stay compliant.
- To manage renovations of existing offices when needed.
- To manage and track all assigned office related budgets.
Fleet and Logistics Management
- To oversee transport for the ECEP and SEP monthly training sessions.
- To assist the Life Skills and Extra-Curricular Manager with the transport for all educational and life skills activities for the ECEP and SEP centres.
- To liaise with Pebbles Project drivers regarding any issues or information relating to the travel logistics of the organisation.
- To oversee any vehicle maintenance or breakdown issues, as well the diary of dates of when the Pebbles vehicles are due for licence renewals and road worthy tests.
- To oversee the arrangement of safe alternative transport, should the Pebbles transport not be available.
Staff Management
- To manage and support subordinates, including performance management and staff development.
- Assisting HR with the recruitment of staff for relevant initiatives and activities.
Monitoring and Evaluation
- To monitor and evaluate all initiatives and activities presented in the Citrusdal ECEP and SEP centres.
- Contribute to service development through identifying gaps in initiative implementation.
- Assist the COO with the collection of relevant and appropriate data needed for the effective monitoring of the relevant services.
- Take overall responsibility for the timely (monthly) sharing of M&E information to the Classter management system.
- Maintain and update current KPI’s for the relevant initiatives under the guidance of the COO.
- Build capacity of direct reports through training to ensure the implementation of new initiative monitoring tools and the quality of data collected.
Public Relations
- To assist and support the fundraising team with social media posts, suggesting interesting content, and providing relevant photos.
- To assist the fundraising department in drawing up a yearly social media plan.
- To assist the fundraising team in taking out donors and visitors to farms.
- To assist with hands-on days – when donors or funders visit the Pebbles Project – arranging volunteers, organizing materials needed, liaison with farm owners, assisting with actual renovations.
